A well-established general contractor specializing in multi-family residential, commercial tenant improvements, and seniors/retirement projects is seeking a Project Coordinator to join its growing team. The organization is known for its collaborative culture, strong trade relationships, and commitment to quality project delivery.
This role works closely with Project Managers to support projects from pre-construction through closeout, helping ensure work is delivered efficiently, on schedule, within budget, and in accordance with contract documents and quality standards.
Position Responsibilities
Pre-Construction & Estimating Support
- Assist in preparing detailed scopes of work in alignment with internal standards
- Support development of preliminary construction schedules for client proposals
- Contribute to the preparation of project budgets based on defined scope
- Provide accurate cost documentation for internal budget reviews and presentations
Construction Phase
- Support project startup procedures, ensuring proper documentation and systems are in place
- Assist in final budget setup and cost tracking
- Help coordinate tender calls, bid reviews, subcontract preparation, and purchase orders
- Monitor construction progress to ensure alignment with schedules, budgets, and contract requirements
- Track drawings, specifications, shop drawings, and submittals throughout the project lifecycle
- Maintain positive working relationships with internal teams, clients, consultants, municipal representatives, and the public
- Assist with project closeout, deficiencies, and occupancy processes
Post-Construction
- Coordinate warranty documentation and support resolution of post-completion deficiencies
- Ensure compliance with maintenance and warranty provisions under contract
Site Safety & Setup
- Promote compliance with corporate safety policies and WorkSafeBC regulations
- Support site setup and ensure professional site presentation standards are maintained
Key Accountabilities
- Report directly to the assigned Project Manager and assist with multiple active projects
- Organize and maintain complete project records, drawings, and correspondence
- Manage incoming and outgoing project documentation, including RFIs, change orders, site instructions, consultant reports, and test results
- Review shop drawings and coordinate consultant approvals
- Ensure only current issued-for-construction documents are utilized onsite
- Maintain project filing systems and documentation controls
- Review schedules and cost reports; assist in updating forecasts and profit projections
- Prepare monthly internal reports covering schedule, financial status, subcontract progress, and overall performance
- Provide regular client updates and short-term look-ahead schedules
- Conduct periodic site visits to verify compliance with drawings and specifications
- Attend and document client, consultant, and trade meetings
- Assist with schedule development and updates to the Master Schedule
- Support change order administration, including tracking, pricing coordination, and log maintenance
- Assist with progress claims, subcontractor payment reviews, and invoice approvals
- Maintain detailed cost tracking records
- Submit Notices of Project (NOP) and assist in obtaining occupancy and substantial completion certificates
- Support preparation of project closeout documentation and participate in post-project evaluations
- Monitor subcontractor and supplier performance and escalate significant issues when required
Qualifications
- Minimum 1 year of experience in a construction project coordination role, ideally within tenant improvements or multi-family projects
- Strong organizational skills and attention to detail
- Effective verbal and written communication abilities
- Proficiency with construction management software (Procore preferred) and Microsoft Office
- Working knowledge of construction contracts, change management, and scheduling practices
- Familiarity with WorkSafeBC requirements
- Experience with Smartsheet considered an asset
